Executive chauffeur and fleet administrator

Job description

We are looking for an executive chauffeur and fleet administrator to ensure the safe, secure, and efficient transportation and personal security of the Managing Director (MD) in accordance with European Stability Mechanism (ESM) standards and international best practices. The selected candidate will be also responsible for managing the ESM’s fleet of leased vehicles. This role requires driving skills, security skills, strict confidentiality, adaptability, and a commitment to the highest standards of safety and service. The position is within the IT and Facilities Management division and reports to the Head of that division.

 

 

Key accountabilities

  • Secure transportation:

    • Drive the MD daily, including from residence to duty station and on missions abroad, ensuring punctuality, safety, and comfort.

    • Plan and prepare all journeys in advance, considering security risks and logistical requirements.

    • Monitor and assess security risks affecting the MD’s travel; liaise with police and host authorities as needed.

    • Remain with the vehicle when required and conduct security inspections after parking in unsafe areas.

  • Personal security:

    • Closely protect the personal safety of the MD during official duties and travel, adapting to changing environments and threat levels.

    • Respond rapidly and appropriately to security incidents or emergencies, including accidents or threats, ensuring the safety of the MD and vehicle passengers until authorities arrive.

    • Maintain utmost discretion, confidentiality, and professionalism at all times.

  •  Fleet management:

    • Ensure the MD’s official car is maintained in optimal condition (cleaning, refuelling, routine checks, tire changes, etc.).

    • Ensure the regular maintenance of the other ESM lease vehicles.

    • Keep accurate records of vehicle usage, maintenance, and incidents.

    • Ensure proper management of all the ESM’s leased vehicles including: procurement procedures, contract renewals, order forms, change orders, extensions, liaising with Human Resources for payroll treatment, and the necessary vehicle and diplomatic paperwork. This requires the frequent communication and administration of the contract between the leasing company and the ESM.

    • Ensure proper registration with Luxembourg authorities for all ESM vehicles and their compliance throughout the year  (i.e. technical inspections, vehicle tax sticker, diplomatic plates, etc.)

    • Supervise third-party driver services provided to the ESM to ensure compliance with ESM standards and contractual requirements.

    • Train back-up drivers from third-party service provider, ensuring high standards of service and security

    • Manage any temporary replacement vehicle for the ESM fleet.

  • Reporting and communication:

    • Provide timely and comprehensive reports to the MD and Head of IT and Facilities Management on any accidents, security threats, or security concerns.

    • Communicate effectively with internal and external stakeholders, including law enforcement and third-party service providers.

  • Other duties:

    • Perform additional administrative tasks as required by the MD or Head of IT and Facilities Management.

 

Key background and experience

  • Secondary school diploma or equivalent.

  • Relevant experience as a professional driver, preferably in an international or diplomatic environment.

  • Proven experience in close protection or executive security roles.

  • Knowledge of defensive and offensive driving techniques.

  • Certified personal security tactical skills.

  • Valid first aid certificate and driving license.

  • Excellent physical and psychological fitness for emergency interventions. 

  • Excellent oral and written English skills; proficiency in French would be an asset.
